Your QuickBooks Data: What Happens When You Cancel
A plain-English guide for small business owners — no jargon, no surprises.
Updated June 2026
The Short Version (TL;DR)
If you cancel QuickBooks Online, here's what you need to know in 30 seconds:
- You get 1 year to log in and look at everything. You can see your books, run reports, download files — but you can't add or change anything.
- After 1 year, you're locked out. Your data disappears from your reach. Poof.
- So: download everything important BEFORE you hit that cancel button. This guide tells you exactly what to grab.
If you're using QuickBooks Desktop (the one installed on your computer), your company file stays on your PC forever — but the software won't let you open it without a subscription. You still need to export your data.
What Happens to Your Data, Step by Step
QuickBooks Online (the web version)
The moment you cancel:
- You can still log in, but everything becomes "look but don't touch." No new transactions, no editing, no payroll.
- Your bank feeds disconnect immediately — no more automatic transaction imports.
For the next 12 months:
- You have read-only access. You can view reports, customer lists, transactions — everything you had before.
- You can still export and download anything you want.
After 12 months:
- Your login stops working. Your data is no longer accessible to you.
- Intuit may keep it on their servers for a while longer, but you can't get to it.
Good news: If you resubscribe (even after the year is up), your data should still be there waiting for you.
QuickBooks Desktop (the software on your computer)
- Your company file (the .QBW file) lives on your computer — Intuit never deletes it.
- But: the software locks you out when your subscription ends. You can't open or edit the file.
- To get back in: resubscribe, or use a conversion tool to move your data somewhere else.
QuickBooks Payroll (this part is urgent!)
Payroll features stop immediately. No grace period. The day you cancel:
- You can't run payroll or pay employees
- Direct deposit stops working
- Tax filing stops
- You can't generate new tax forms
Your past payroll records are still in your company file — you just can't process anything new.
QuickBooks Payments (if you take credit cards)
- You can log into the Merchant Service Center for 12 months after cancelling.
- You can view and download your transaction history and statements.
- After 12 months, that access is gone too.
